Announcement of the 19th JIIMA Best Practice Award Winners

 The public interest incorporated Japan Image and Information Management Association (JIIMA) is the only organization in Japan that has been working to promote Document and Information Management for over 65 years. The activities that started with the spread of microfilm have changed with the times, and now we continue to engage in public interest activities to promote Document and Information Management with the aim of becoming "an association that leads the acceleration of DX through the practice of Document and Information Management in order to increase the value of all organizations in Japan." As part of this, we have established the "Best Practice Award" to honor companies and organizations that have introduced advanced Document and Information Management systems and achieved remarkable results since 2007.
  This year, following rigorous screening by the judging committee, the 19th JIIMA Best Practice Award has been granted to the following three cases.

The details are as follow.

1.Alphatex Co., Ltd. [Excellence Award]

・Recommender: Self-recommendation

・Theme: "Establishing a New Approach to "Knowledge Transfer" and "Accelerating Task Handover" Through Integration of Digital Work Manuals and Generative AI"

・Evaluation point:By incorporating accumulated internal documents such as work manuals and operation guides into Generative AI and leveraging RAG technology, the company improved searchability, reusability, and response accuracy. Traditionally, manuals were often left outdated and unused in practice. However, through AI-driven utilization, automatic updates and improvements reflecting actual inquiry history and operational changes became possible, significantly enhancing document freshness and field adaptability.

The innovativeness of this case: This initiative is considered pioneering in the industry for applying Generative AI and RAG to support knowledge succession, simultaneously addressing the elimination of dependency on individuals and reducing psychological burdens.

2. NEXT ONE Co., Ltd. [Excellence Award]

・Recommender: Mitsui-Soko Business Partners Co., Ltd.

Theme: "Rebuilding Document and Information Management to Achieve Both Operational Efficiency and Strengthened Internal Controls for the Rapidly Growing Electricity Retail Business"

・Evaluation points:Rather than simply outsourcing document storage, the company implemented comprehensive management by reviewing the entire document lifecycle and linking it to solving management challenges. In particular, considering the characteristics of the regulated electricity infrastructure business, they prioritized security and compliance with periodic audits when selecting partners, and centralized document management. This approach successfully achieved both enhanced internal controls and improved operational efficiency.

The innovativeness of this case: This case serves as a model for how fast-growing startups and venture companies can balance the seemingly conflicting goals of operational efficiency and governance, demonstrating clear innovation.

3. Nakasha Creative Co., Ltd. [Excellence Award]

・Recommended by: Nakasha Creative Co., Ltd. (Self-recommendation)

Theme: "Harnessing "Practical AI" as an Ally — Nakasha Creative’s Challenge to Streamline Operations and Drive Transformation Through Company-Wide Adoption of Generative AI"

・Evaluation point: Addressing structural issues such as “information silos” and “knowledge fragmentation,” the company integrated all internal document information into Generative AI and RAG, transforming AI into an information partner for employees. This initiative resolved the above challenges and led to the development of 543 AI assistants tailored to specific use cases, demonstrating capabilities in technical areas such as image recognition and programming. It also contributed significantly to succession planning. Company-wide, the initiative delivered nearly 4,000 hours of efficiency gains within six months of implementation.

The innovativeness of thiscase: This effort goes beyond solving individual customer issues and promotes the creation of businesses that address social challenges. The true potential of AI lies in reallocating time generated by AI to high-value-added tasks. By deeply embedding “Practical AI” into operations and maximizing human creativity, this initiative exemplifies advanced innovation.
